Imagine logging into your EPFO account and seeing a company you never worked for in your PF passbook.

This usually happens when an incorrect PF Member ID is linked to your Universal Account Number (UAN).

Such errors can affect your PF transfers, withdrawals, and service history.

The good news is that with the right steps, this issue can be easily corrected.

Why Does This Error Happen?

Most of the time, the problem occurs due to a data entry or mapping mistake by the employer.

Common reasons include:

Linking someone else’s PF number to your UAN

Creating an extra Member ID by mistake

Using an incorrect Establishment Code

These errors are usually noticed when you check your EPFO Member e-Seva portal or passbook.

Step 1: Document the Mistake

Before contacting anyone, gather all evidence:

Note down your UAN and all linked PF Member IDs

Highlight the incorrect Member ID

Save screenshots of your passbook and service history

Keep your appointment letter or salary slips from the correct employer

Having this information ready will make the correction process smoother.

Step 2: Contact the Employer

Reach out to the HR or payroll team of the employer whose PF ID is wrongly linked to your UAN.

Send an email or written notice explaining the issue

Attach screenshots for clarity

Ask them to request a correction or de-linking with the regional EPFO office

The EPFO usually updates records based on employer confirmation.

Step 3: File an Online Complaint

To officially register your case, file a grievance on the EPFiGMS portal. Include:

Your UAN

Correct and incorrect PF Member IDs

Name of the employer

Screenshots and proof of your communication with HR

Clearly mention that you only want the incorrect mapping corrected, not a transfer or closure.

Step 4: Follow Up at the PF Office (If Needed)

If the online complaint does not get resolved, visit the regional PF office with:

UAN details

Identity proof

Grievance copy

Employer’s response

Explain that you want only the incorrect PF Member ID removed.

The correction may take a few weeks, but the system will eventually update.

Tips to Avoid Future Errors

Always provide your old UAN to your new employer

Check your service history on the EPFO portal after 1–2 months of joining

Keep your KYC updated to prevent duplicate or incorrect PF accounts

Even though an incorrect PF Member ID can be frustrating, careful documentation, communication, and follow-up ensure your PF record is corrected.

Once fixed, your UAN will reflect a clear and accurate service history.
